The Docutrail™ system introduces a unique and innovative discipline into the origination and delivery of Accountable Documents. Through the use of the patient pending Docutrail™ process the enterprise determines the standard method of delivery for a specific type of document. This process objectively determines the requirements for delivery and accountability and sets a standard default when the document is selected.
In order to fully implement the process the enterprise must utilize several methods of delivery in order to fulfill the Business Practices and Procedure criteria.
Preferred Provider: If the enterprise has an established contract or relationship with a delivery provider this service is enabled in the Docutrail™ system. ADS has created a Preferred Provider relationship with DHL that allows smaller enterprises to evaluate their existing delivery expense and to utilize the ADS/DHL service if it provides a savings.
USPS Intelligent Mail™: Docutrail™ has incorporated the United States Postal Service’s Confirm Services with its innovative accountabledocs.pac™ to provide our clients another delivery option.
Efficient use of resources requires innovative technology solutions
Docutrail™ is a web-delivered desktop system. There is no enterprise hardware or software. This affords the enterprise a low cost of entry.
- There is no equipment purchase cost
- There is no software purchase cost
- Docutrail™ requires only an Internet connection and a web browser at the document originator’s desktop computer.
- No internal technology resources are required.
- There are no maintenance costs
- There is no cost for updating information, such as carrier rates
The system has the highest levels of monitoring, security, and redundancy,
Consolidation of origination and delivery history across the entire enterprise creates the information base for much more productive negotiations with delivery services. The combination of the Docutrail™ Business Practices and Procedures module and clear, immediate cost center information creates cost-conscious behavior, even among busy employees.
Focus Groups have anticipated direct cost savings in the range of 25% to 30%. This certainly merits consideration of a trial period.
