The Docutrail™ Desktop System
This component is available at the personal computer desktop of every person authorized by the enterprise.
- With it, the user can enter addresses, by typing them, or with instant transfer from an address book.
- The user selects a document type and the Business Practices and Procedures Module sets the standard delivery rules. Standard delivery rules can be overridden which creates an exception report.
- Electronic postage is applied for USPS deliveries by entering the number of pages of the document. This eliminates the need for postal scales and any requirements for processing in the mail center.
- The delivery information is printed on standard bond paper and creates a label, which is compliant to the delivery method specified.
- Retrieval of delivery confirmation by any method of delivery can be accessed for up to five years from the origination date by entering name, address, zip code or date perimeters.
- Confirmation of delivery can be e-mailed to one or more persons at the time of initial delivery or anytime retrieval is required during the five year retention period.
The Docutrail™ Desktop Document System can be integrated into the company’s Intranet or used as a web stand-alone based connection.
The Docutrail™ Administrative System
The Administrative System is the management tool for ongoing document activity across the Enterprise.
- It contains the Business Practices and Procedures module, which can specify standard delivery rules and procedures enterprise-wide, or by specific locations. During the origination process, the Business Practices and Procedures module will automatically create and monitor compliance of all practices and procedures.
- The Administrative System collects a complete document history. This information can be assembled by enterprise-designed reports.
- Reports may include the following:
- Exceptions to standard delivery policies
- Document origination activity for all methods within locations, department or enterprise defined, including expense per item
