The following is an overview of a system that addresses the criteria above.
ADS “The Accountable Documents System” program Docutrail™ is a desktop web-based document management system. It permits standard delivery by document type. It generates accurate labels and postage if required, quickly and easily, collects and retains data for effective and efficient management control.
Internet Delivered: Docutrail™ is delivered to a desktop-based application over the Internet, via a browser. No resident server or enterprise software is required.
Availability Determined by the enterprise: Any person with intranet or Internet access can be designated to use the system.
Standard Method of Delivery: Through the use of the Docutrail™ Business Practices and Procedures module standards for delivery are predetermined based on objective criteria. Exceptions are possible and are noted and reported. The method of delivery is no longer a subjective part of the preparation process therefore Docutrail™ which maintains control of expenses and compliance.
Enterprise Courier: Through the use of SC Logic™ SCL Intra system an enterprise may elect to use hand held scanners to confirm delivery of Accountable Documents delivered through an Enterprise Courier. These documents would be reflected as a method of delivery for all reports.
Creates Accurate Labels Quickly: Docutrail™ allows users to enter delivery data quickly and easily, and prints delivery labels and postage on standard printers using delivery service approved labels. Users can select address directly from multiple address books, reducing labeling errors. All USPS deliveries are Case Certified to verify address accuracy. Through the use of the Docutrail™ patent pending system, postage scales are not required when using USPS delivery services.
Record Retention and Retrieval: Docutrail™ retains all originating information to provide effective and efficient management of Accountable Documents. Enterprise defined access provides confirmation of delivery by name, address, or date without requiring a specific number. Any person with enterprise authorization can access confirmation records up to five years. The enterprise may define access authorization for retrieval and preparation.
